Your privacy is important to us. It is our policy to respect your privacy and comply with any applicable law and regulation regarding any personal information we may collect about you, including via our app, RoundTrip, and its associated services.
Personal information is any information about you which can be used to identify you. This includes information about you as a person (such as name, address, and date of birth), your devices, payment details, and even information about how you use an app or online service.
In the event our app contains links to third-party sites and services, please be aware that those sites and services have their own privacy policies. After following a link to any third-party content, you should read their posted privacy policy information about how they collect and use personal information. This Privacy Policy does not apply to any of your activities after you leave our app.
Information We Collect
Information we collect falls into one of two categories: "voluntarily provided" information and "automatically collected" information.
Voluntarily provided information refers to any information you knowingly and actively provide us when using our app and its associated services.
Automatically collected information refers to any information automatically sent by your device in the course of accessing our app and its associated services.
Log Data
When you access our servers via our app, we may automatically log the standard data provided by your device. It may include your device's Internet Protocol (IP) address, your device type and version, your activity within the app, time and date, and other details about your usage.
Additionally, when you encounter certain errors while using the app, we automatically collect data about the error and the circumstances surrounding its occurrence. This data may include technical details about your device, what you were trying to do when the error happened, and other technical information relating to the problem.
Personal Information
We may ask for personal information — for example, when you register an account or when you contact us — which may include one or more of the following:
- Name
- Email address
- Phone number
- Business name and address
- Payment information (processed securely by Stripe)
Business Data
As part of using RoundTrip, you may input data about your clients, service tickets, inventory, and other business operations. This data belongs to you. We process it only to provide the RoundTrip service and do not use it for any other purpose.
How We Use Your Information
We may use your personal information for the following purposes:
- To provide and maintain our service
- To process payments and manage your subscription
- To send transactional emails (invoices, notifications, account updates)
- To respond to support requests and customer communications
- To improve and develop our product
- To comply with legal obligations
Security of Your Information
We take security seriously. All data is encrypted in transit using TLS. Passwords are never stored — authentication is handled by Microsoft Entra External ID. Payment processing is handled entirely by Stripe and we never store full payment card details.
When we collect and process personal information, and while we retain this information, we will protect it within commercially acceptable means to prevent loss and theft, as well as unauthorized access, disclosure, copying, use, or modification.
Data Retention
We retain your personal information only for as long as necessary to provide you with our service. When you cancel your subscription, your data is retained for a period to allow for reactivation, after which it is deleted in accordance with our data retention policy.
Third-Party Services
RoundTrip uses the following third-party services which may process your data:
- Microsoft Entra External ID — authentication and identity management
- Stripe — payment processing
- SendGrid — transactional email delivery
- Microsoft Azure — cloud infrastructure and data hosting
- Cloudflare — content delivery and security
Each of these services has its own privacy policy governing their use of your data.
Your Rights
You have the following rights with respect to your personal information:
- Right to access — you may request a copy of the personal information we hold about you
- Right to correction — you may request that we correct inaccurate or incomplete information
- Right to deletion — you may request that we delete your personal information, subject to legal requirements
- Right to portability — you may request your data in a machine-readable format
- Right to opt out — you may opt out of marketing communications at any time

Children's Privacy
RoundTrip is a business operations platform and is not directed at children under the age of 13. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the effective date. Your continued use of RoundTrip after any changes constitutes your acceptance of the updated policy.
